Set Up Your Locations
Add each restaurant as a location so you can see how every store is doing on its own.
What’s a location?
A location is your actual restaurant: the place your guests walk into and your team clocks in. It’s where you use your everyday restaurant name, like Sunny Side Diner.
Once your locations are in, DishBooks can show you how each store is doing on its own. Locations also shape the rest of your setup:
- Reports: see sales, costs and profit for one store or all of them.
- Banking: each bank account is tied to a location.
- Your team: give a GM access to just their store.
Before you start
Add your entity first. Every location belongs to an entity, so you’ll pick one while setting up. Haven’t done it yet? Start with Set up your entities.
Then grab this for each restaurant:
| What you need | Example |
|---|---|
| Restaurant name (required) | Sunny Side Diner |
| Which entity owns it (required) | Sunny Side Hospitality LLC |
| Location number, optional | 100 |
| Street address, optional | 113 Egg Yolk Street, Atlanta, GA 30303 |
A quick note on billing: DishBooks is billed per location, not per entity. Every location you add is free during your free trial. Once the trial ends, your locations are billed, and any location added mid-cycle is prorated.
Add a location, step by step
-
Head to Locations. In the left menu, click Settings, then Locations.
- Shortcut: on your Home screen, click Add your Locations in the Setup checklist.
-
Click + New Location in the top-right corner. A New location panel slides open on the right.
-
Fill in Location details.
- Name (required): Use the name your guests know (for example, Sunny Side Diner). If you run more than one spot with the same name, add the neighborhood, like Sunny Side Diner – Midtown.
- Number (optional): Give each location a short number, like 100. It’s not required, but we recommend it. See the numbering tip below.
- Entity (required): Pick the entity that owns this restaurant from the dropdown. Inactive entities aren’t listed.
-
Fill in Address. Add the Street, Street 2 (suite, unit or floor), City, State, Zip and Country for the restaurant.
-
Click Save at the top of the panel. Changed your mind? Click the × to close without saving.
Running more than one restaurant? Repeat these steps for each one.
You’re open for business! Here’s what you’ll see
Your new location shows up in the Locations list, with its Name, Number, Entity and Address.
- Need to make a change? Click the ⋮ menu at the end of the row, then Edit. Update any field and click Save.
- Growing? Use the Search bar to find a location quickly as your list gets longer.
Tips and common questions
- How should I number my locations?
- Pick a simple pattern and stick with it: 100 for your first store, 200 for the next, and so on. Lists sort by location number, and many teams reuse it in bank account names (like 100 OP for your first store’s operating account), so a clean pattern keeps everything easy to read as you grow.
- Which name goes here, my legal name or my restaurant name?
- Your restaurant name. Your legal business name lives on the entity.
- I have two restaurants under one LLC.
- Add two locations and connect the same entity for both. DishBooks lets you view your numbers by entity or by location, whichever you’d like to see.
- What about a commissary, food truck or catering kitchen?
- If you want to track its sales and costs on their own, set it up as its own location. Keep in mind that each location is billed separately.
- Will adding a location change my bill?
- Not during your free trial: every location is free until it ends. After that, DishBooks bills per location, and mid-cycle additions are prorated.
- Closed a location? Can I delete it?
- Locations can’t be deleted, but you can deactivate one. Click ⋮ → Edit, turn off the Active toggle and click Save. Deactivating a location also updates your billing, so you won’t be billed for it. The exception is the last active location under an entity, since an active entity is always billed as at least one unit. Reopening? Turn Active back on anytime, as long as its entity is active too. If the entity is inactive, reactivate it first.
