Connect US Foods

Connect US Foods' EDI feed so its invoices arrive in DishBooks as bills.

US Foods invoices, straight into DishBooks

Connect US Foods once and every US Foods invoice shows up in DishBooks as a bill, line by line, soon after you place an order. This guide covers the US Foods-specific details. For the full picture, see Vendor integrations.

Before you start

  • Ask your US Foods sales rep for EDI invoice access. They’ll send a username plus a password or a private key (and sometimes a passphrase). Give yourself a few days.
  • Know your US Foods account numbers. Each location US Foods delivers to has its own account (ship-to) number.
  • Your locations are set up in DishBooks.

Step 1 Connect US Foods

  1. Go to Settings → Integrations and click Connect on the US Foods card.

  2. The server details are filled in for you (host ediprod.usfoods.com, port 22, directory /inv). Leave them as they are.

  3. Under Vendor, choose US Foods from your vendor list, or click + New to add it.

  4. Enter the Username from your US Foods rep, then either the Password or the Private key (plus Private key passphrase if you were given one).

  5. Switch on Receive invoices from this partner and click Save.

DishBooks pulls from US Foods once a day. After the first pull, Connection health shows how it went.

Step 2 Match your US Foods ship-to codes

Once invoices start arriving, your US Foods account numbers appear under Ship-to codes on the same page. Match each one to the DishBooks location it delivers to.

Step 3 Approve your US Foods bills

US Foods invoices land in Expenses → Bills as Pending, with every line item. Check each one, click Accept, then Approve.
